Privacy Policy

This policy explains what information Veltran Solutions collects, why, and what we do with it. We are a business-to-business wholesale distributor: almost all of the information we hold relates to companies and to individuals acting in a professional capacity on behalf of those companies.

2. What we collect

Account and verification information

Business name, trading name, entity type and formation details
Licence, registration and authorisation numbers, issuing state or agency, status and expiry
Name, job title, business email, business telephone and business address of the individuals who act for the account
Resale or tax exemption certificates
The outcome and date of our verification checks

Transaction information

Quotations, orders, invoices, lot numbers, shipping and delivery records
Payment records. We do not store full bank account numbers or payment card numbers on our systems. Payments are handled by our bank or payment provider, who hold those details under their own terms.
Claims, returns and recall correspondence

Communications

Email, text message and telephone correspondence with us, and notes of calls
Booking information you submit when scheduling a call

Technical information

Server and security logs generated when you visit this website, including IP address, approximate location derived from it, browser and device type, pages requested, and timestamps

The eligibility checker on our home page runs entirely in your browser. Your selections are not transmitted to us and are not stored.

3. Why we collect it

To verify eligibility. We are required to satisfy ourselves that a buyer is licensed before we sell. This is the single most important reason we hold data.
To perform the contract. Quoting, fulfilling, shipping, invoicing and supporting your orders.
To meet legal obligations. Tax and accounting records, traceability of lots, recall capability, and responses to lawful requests from regulators.
To protect the business. Fraud prevention, credit assessment, security monitoring, and establishing or defending legal claims.
To communicate. Responding to enquiries and sending operational notices such as shipping confirmations, documentation and recall notices.

We do not sell personal information, and we do not share it for cross-context behavioural advertising. We do not send marketing email to individuals who have not asked to hear from us.

4. Where it comes from

Most information comes directly from you. We also obtain licence status from public registries maintained by state boards and federal agencies, entity status from Secretary of State records, and, where we extend credit, information from credit reference agencies and trade references you nominate.

We share information only where necessary, and only with:

Carriers and logistics providers, to deliver your order
Our bank and payment providers, to take payment
Our accountants, auditors and legal advisers, under professional duties of confidence
Service providers who host this website and our systems, under contract and only on our instructions
Regulators, law enforcement and courts, where we are legally required to disclose, or where disclosure is necessary to a recall
A successor entity, in connection with a merger, acquisition or sale of assets

6. How long we keep it

Transaction, lot traceability and verification records are retained for at least seven years after the end of the relationship, reflecting tax record-keeping requirements and the period during which a claim could be brought. Licence verification records are retained for the life of the account and for seven years afterwards. Server logs are retained for a short period, ordinarily no more than ninety days. Correspondence is retained for as long as it is relevant to an ongoing account, then archived on the same schedule.

7. How we protect it

Access to account and transaction records is limited to personnel who need it. Our website is served over encrypted connections. We use reputable providers for hosting, payments and email. No system is perfectly secure, and we cannot guarantee absolute security, but we will notify you and any regulator required by law if a breach affecting your information occurs.

8. Cookies and analytics

This website does not set advertising cookies and does not carry third-party advertising or social media trackers.

Our hosting and security provider sets a small number of strictly necessary cookies to route traffic, protect against attack and measure aggregate performance. The site loads typefaces from a third-party font service, which receives your IP address as a necessary part of serving those files. Booking a call takes you to a third-party scheduling service, which operates under its own privacy policy.

9. Your rights

Subject to applicable law, you may ask us to: confirm what information we hold about you; provide a copy; correct anything inaccurate; delete information we no longer need; or restrict or object to certain processing. Write to us using the details below. We will verify your identity before responding, and we will respond within the time the applicable law allows.

Some information cannot be deleted on request, because we are required to retain it — licence verification and transaction records in particular.

10. California residents

If you are a California resident, the California Consumer Privacy Act as amended gives you rights to know, delete, correct, and to opt out of sale or sharing of personal information. We do not sell or share personal information as those terms are defined, and we do not process sensitive personal information for the purpose of inferring characteristics. We will not discriminate against you for exercising any right. You may use an authorised agent, and we will verify the agent's authority.

The categories of personal information we collect are identifiers, professional and employment information, commercial information, and internet activity information, as described in section 2 above.

11. International visitors

We operate in the United States and our systems are located there. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where data protection law differs from that of your own country.

12. Children

This website and our products are directed exclusively at licensed businesses. They are not directed at children, and we do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.

13. Changes to this policy

We may update this policy. The date at the top of the page shows when it last changed. Material changes affecting existing accounts will be notified by email.
